Mission Statement : To provide an organized group of supporters of the Collinsville High School Baseball program, its players and its coaches with the financial support for projects and needs that are deemed to be in the best interest of the program.
Financial support will be attained through memberships, fundraising activities and by the sale of tangible goods including but not limited to T-shirts, food and caps.
The Collinsville Cardinals Homerun Club is an organization operated solely for the benefit of and in connection with the Collinsville High School Baseball Program.
The Organization will not discriminate against any person from joining by virtue of their race, religion or gender.
The Homerun Club is operated as a non-profit organization with recognition of exemption status under IRS guidelines “Supporting Organization”501 © (3) (Its tax identification number is 87-0714941.) which allows for contributions through donations, memberships and/or fundraising activities to be tax deductible as well as for the organization to be exempt from federal and state taxes.
Quorum : a quorum will consist of 5 board members, 2 of which must be officers.
Officers/Trustees : The Collinsville Cardinals Homerun Club shall consist of the following:
President-Leads the club at all meetings, represents the club at official and unofficial events and delegates responsibilities as necessary. The President shall visit the current High School Coach and/or current High School Athletic Director to determine needs of the program and relate those needs back to the board for consideration. The President will only vote in the case of a tie.
Vice-President-The Vice-President assists the President in their duties. The Vice-President shall serve as President in the absence of the President or if the President cannot or is unable to perform their duties.
Secretary-Records minutes of the meetings, all outcomes of issues requiring a vote and is responsible for all necessary correspondence.
Treasurer-Shall maintain a bank account at American Bank. The Treasurer will keep and maintain proper accounting records of each account. All deposits and withdrawals shall be made by treasurer. The Treasurer shall be responsible for the paying of any kind and all expenses incurred by the Cardinal Homerun Club from the appropriate account.
Trustees-Five trustees represent the Cardinals Homerun Club in a positive enthusiastic manner at all times, promote the importance of the organization, assist in projects as necessary and act as an ambassador to the High School Baseball Program, its players and coaches.
Membership Fees/Dues:
$125.00 Grand Slam
$100.00 Homerun Membership
$ 75.00 Triple Membership
$ 50.00 Double Membership
$ 25.00 Single Membership
All funds received through membership fees, fundraising activities and through the sale of tangible goods minus organization operating expenses will be dedicated to specific projects recommended by the current Collinsville High School Head Baseball Coach and/or the current Collinsville High School Athletic Director and voted on by the current Collinsville Homerun Club Board.
Dissolution Clause : In the event of the dissolution of the Collinsville Cardinals Homerun Club, all existing funds in the bank accounts will be dispersed to the current Collinsville High School Baseball Coach, to be used on a project at his/her discretion, in the best interest of the program.
Membership Oath : I will not nor will I knowingly allow any person of the Collinsville Cardinals Homerun Club to interfere with or try to influence any coach in any manner. Doing so will result in the immediate expulsion from the organization.
Budget Year : The budget year will run from July 1 to June 30. Any existing monies left over at the end of the year shall be turned over to the incoming Collinsville Cardinals Homerun Club Officers and Trustees. The outgoing treasurer will go over the accounting ledger with the new incoming Treasurer at the end of each year. Any discrepancies will be quelled between both treasurers with the result being reported to the outgoing President and the incoming President.
Mandated Meetings : Prior to the end of the budget year, the President will conduct a meeting to elect officers for the next budget year and to conduct any other club business as the President deems necessary. The President will also hold regular scheduled meetings at intervals necessary to conduct club business in a reasonable manner and to achieve established goals.
Terms of Office : Officers and Trustees shall serve their respective terms from July 1 to June 30. All officers and trustees will be nominated at a meeting prior to the end of the budget year. Nominations can be made from outgoing officers, trustees or members. In the event of multiple nominations, the President will have those in attendance at the meeting vote for the candidate of choice. In case of a tie the President shall make the necessary appointments which he believes will be in the best interest of the organization. Any officer can serve no more than two consecutive terms in the same office. After serving two consecutive terms in an office an officer can continue to serve in another capacity: eg…a trustee could become secretary, a secretary could become a trustee.
Membership fees and renewals shall be collected and turned over to the Treasurer. Along with the membership fees there shall be a membership form consisting of the member's name, mailing address, e-mail address and phone numbers. Membership fees may be raised or lowered at the discretion of the officers and board.
Any item of this Organizing Instrument and By-Laws may be altered upon the vote of the presiding officers and board of trustees in the form an addendum or amendment.
